Most restaurants treat their Google reviews like the kitchen treats the pass — something that has to be cleared, fast, between everything else. That works on a slow Tuesday. It does not work on a Friday with 40 covers, two callouts, and a delivery driver waiting in the back.
The teams we work with that move ratings consistently treat reviews like inventory: weekly, structured, and pinned to a person. Here's the system, written for someone who can hand it to their floor manager on Friday morning and trust the result.
Why a system, not a habit
Habits die when one person leaves. Systems survive. A weekly review ritual takes 30 minutes, fits between staff meal and service, and produces three things you can act on: a topic shift, a reply backlog at zero, and one operational fix queued for next week.
The Friday 30-minute ritual
Block 30 minutes every Friday before the dinner rush. Same person, same time. The point is not to reply to every review (Repify's AI does that). The point is to read the dashboard, name the pattern, and decide one thing.
Step 1 — Triage
Open the dashboard. Look at last 7 days. Three numbers matter: average rating, reply coverage, response time. If any of these moved more than 10% week-over-week, write it down.
Step 2 — Tag the themes
Open the topic cluster. Which themes lit up? "Wait time" trending up? "Service" suddenly cooling? Don't chase one-off reviews — chase patterns. A single 2★ that mentions slow service is noise. Three 3★s that all mention wait time on the same night is signal.
Step 3 — Pick one fix
Pick one. Not three. One. Send it to whoever owns it (kitchen manager, floor lead, owner) by Friday end-of-shift. Write the fix down in your team notes so next Friday you remember what you tried.
Scaling to multi-location
For groups of 3+ locations, the Friday ritual moves up a level: each location does its own version with their floor manager, then the area manager reviews all locations together for cross-cutting themes. Same process, same 30 minutes — just at two levels.
The first month, expect the system to feel slow. By month three, the Friday ritual takes 20 minutes and produces a year-over-year rating chart you can show ownership without explaining.
