Should you respond to every Google review?

Yes, ideally you should respond to every Google review, positive and negative. Google recommends replying to reviews because it shows customers you value their feedback, and readers judge a business partly by how it answers. If volume makes that hard, prioritize negative and detailed reviews first, then thank positive reviewers with short, personal replies rather than identical copy-paste messages.

It is tempting to answer only complaints, but positive reviews are most of what future customers read. A short, specific thank you rewards the reviewer, reinforces what you do well and shows the profile is managed by real people. Mentioning the detail they praised, such as a dish, a staff member or a fast repair, makes the reply genuinely useful instead of generic.

When a reply needs extra care

  • Reviews about health, safety or legal issues: stick to facts and move the conversation to a private channel.
  • Reviews you plan to report as fake: you can still reply briefly and neutrally while Google checks the report.
  • Reviews that include personal details: never confirm or add personal or sensitive information in your answer.
  • Hostile or provocative reviews: answer once, calmly, and do not get into a public back-and-forth.

Avoid copy-paste replies

Posting the same sentence under dozens of reviews looks automated and tells readers nobody is really listening. Templates are fine as a starting point, but each reply should reference something the customer actually wrote and match the tone of the review. Keep replies short: two to four sentences is usually enough for a positive review, and a little more for a complaint.

Make it sustainable

Set a routine: one person responsible, a daily check and clear rules about which reviews must be escalated to a manager. For businesses with several locations, decide who approves replies to negative reviews so the brand voice stays consistent across every profile, and agree on what staff can and cannot promise publicly, such as refunds or discounts.
